Compare sponsor compliance software by asking each supplier to complete the same realistic tasks: create a test worker, record a check, identify missing evidence, resolve an expiry action, retrieve an audit record and demonstrate access boundaries. Record what you observed, what needs configuration and what the quoted plan includes.

Compare an outcome, not a feature label

“Audit-ready”, “AI-powered” and “all-in-one” can describe very different products. Start with the work your team needs to complete and ask the supplier to demonstrate it. A shared test script makes comparisons more useful than a checklist filled out from marketing pages.

Use a synthetic worker record and realistic documents created for the demonstration. Do not send a prospecting tool or an unapproved supplier real employee identity documents just to obtain a demo.

Run six practical tasks

For each task, write down whether it was demonstrated, described only, or not available. Note who performs the action and what evidence is retained.

  • Find a worker and explain their current compliance evidence
  • Complete the supported Right to Work workflow and retrieve its output
  • Create, assign and close an expiry-related action
  • Find missing evidence and show how it is resolved
  • Retrieve a worker evidence pack and inspect its contents
  • Show what a restricted manager can and cannot access

Ask where software ends and services begin

Distinguish record management, automated processing, human checking and legal advice. Some suppliers combine software with specialist services; others focus on administration. Ask which service is in the contract, who delivers it and whether there is an additional charge.

For AI features, ask where the answer’s sources are shown, how the user checks them and what happens when the system cannot answer reliably. A confident paragraph is less useful than a traceable answer that helps your team take the right next step.

Compare the full operating cost

Record the billing period, employee limit, included checks, storage or usage limits, implementation work and optional services. An annual plan’s monthly equivalent is not a month-to-month contract. Compare annual totals as well as the headline amount.
