Question 1

What is LuwaSuite?

Accepted Answer

LuwaSuite is a UK-built HR and compliance platform designed specifically for businesses that hold a Home Office sponsor licence. It combines everyday HR management — attendance, leave, recruitment, payroll — with real-time compliance monitoring, so you always know how audit-ready you are.

Question 2

Who is LuwaSuite for?

Accepted Answer

Any UK employer that sponsors workers under the Points-Based Immigration System. Our customers include care homes, healthcare providers, hospitality groups, recruitment agencies, and tech companies. If you have sponsored employees (or plan to), LuwaSuite is built for you.

Question 3

Is LuwaSuite a UK company?

Accepted Answer

Yes. LuwaSuite Ltd (Company No. 16779331) is registered and headquartered in Manchester, UK. All data is hosted on UK/EU data centres and we comply fully with UK GDPR.

Question 4

Can LuwaSuite replace my immigration solicitor?

Accepted Answer

LuwaSuite is not a substitute for legal advice. What it does is ensure all your compliance records, documents, and processes are in order — so when you do need legal counsel, everything is organised and ready. Many customers find they need fewer billable hours from their solicitors once LuwaSuite is in place.

Question 5

How is LuwaSuite different from other HR platforms?

Accepted Answer

Most HR systems focus on people management. LuwaSuite combines those HR workflows with LuwaScore™ — a proprietary compliance score that shows audit readiness for each sponsored employee and the organisation as a whole.

Question 6

What is LuwaScore™?

Accepted Answer

LuwaScore™ is our proprietary compliance scoring engine that rates each sponsored employee from 0–100%. It evaluates six compliance domains — Right to Work & Identity, Employment & CoS Alignment, Attendance & Absence, Change Reporting, Document Management, and Audit Trail — to give you a single, actionable number that tells you how audit-ready you are.

Question 7

What documents does LuwaSuite expect me to upload?

Accepted Answer

For sponsored employees, we track eight key document types: Passport, eVisa (digital immigration status), Visa / Immigration Status, Right to Work Evidence, Employment Contract, Certificate of Sponsorship (CoS), DBS Check, and Proof of Address. You can also add custom document types for your organisation.

Question 8

What is the 10-day reporting rule?

Accepted Answer

UK sponsors must report certain changes to UKVI within 10 working days — for example, if a sponsored worker doesn't turn up for their first day, is absent without permission for more than 10 consecutive working days, or their employment ends. LuwaSuite monitors these events and alerts you before the deadline passes.

Question 9

Can LuwaSuite help during a Home Office audit?

Accepted Answer

Absolutely. You can generate a complete audit pack in one click — containing all employee documents, compliance scores, attendance records, and change reports. Customers report that audits that used to take days of preparation now take minutes.

Question 10

Does LuwaSuite guarantee I will pass an audit?

Accepted Answer

No platform can guarantee the outcome of a Home Office audit. What LuwaSuite does is ensure your records are complete, current, and organised — which significantly reduces the risk of compliance failures. A high LuwaScore™ means your documentation and processes are in excellent shape.

Question 11

How does visa expiry tracking work?

Accepted Answer

LuwaSuite automatically tracks visa, eVisa, and passport expiry dates for every sponsored employee. You receive alerts at 90, 60, 30, and 14 days before expiry, giving you plenty of time to arrange renewals or follow-up Right to Work checks.

Question 12

What features are included?

Accepted Answer

LuwaSuite includes: Compliance Hub with LuwaScore™, Document Management, Right to Work Checks, Employee Management, Attendance & Shifts, Leave Management, Recruitment & ATS, Training & Certifications, Performance Management, 1:1 Meetings, Recognition & Kudos, Pulse Surveys & eNPS, Payroll, Expenses, and Reporting & Analytics.

Question 13

How does attendance tracking work?

Accepted Answer

Employees clock in and out via the platform (desktop or mobile). LuwaSuite records timestamps, calculates hours, tracks breaks, and flags unexplained absences — which is critical for the 10-day absence reporting rule. GPS location capture is optional for mobile clock-ins.

Question 14

Does LuwaSuite include an ATS (Applicant Tracking System)?

Accepted Answer

Yes. You can create job listings, publish them to a branded career site, receive applications, screen candidates with AI scoring, schedule interviews, send offers, and convert successful candidates into employees — all within LuwaSuite.

Question 15

Can LuwaSuite handle payroll?

Accepted Answer

LuwaSuite includes UK payroll processing with PAYE, National Insurance, pension, and student loan calculations built in. You can run payroll, generate payslips, and manage expenses all from the same platform your compliance data lives in.

Question 16

Does LuwaSuite support multi-site organisations?

Accepted Answer

Yes. You can manage multiple locations from a single dashboard, with site-level LuwaScore™ breakdowns, role-based access per site, and consolidated reporting across your entire organisation.

Question 17

Is there a mobile app?

Accepted Answer

LuwaSuite is a fully responsive web application that works on any device. Employees can clock in/out, view payslips, request leave, and upload documents from their phone. A dedicated native app is on the roadmap.
