Sponsor audit pack checklist: organise worker evidence

A sponsor audit pack should let an authorised reviewer trace a worker’s identity and Right to Work evidence, sponsored role, employment records, contact details, attendance and relevant reporting history. Use an evidence index that identifies the record, its date, its owner and any unresolved gap. Check the applicable Home Office requirements for the worker and route.

Start with a worker and a question

An audit pack is useful when it answers a reviewer’s questions quickly. Start with a named worker record and ask: who is this person, what work are they permitted and sponsored to do, what work are they doing, and what evidence supports each answer? A large folder of unexplained PDFs does not answer those questions reliably.

Use the current Appendix D record-keeping guidance and Part 3 sponsor duties to decide what is applicable. The required record set depends on the route and circumstances. A software document count is not a substitute for that assessment.

Build an evidence index

Give every item a readable label and keep the index separate from the evidence itself. If the record is absent, mark it as a gap with an owner and action date. Do not replace missing evidence with a green status simply because a file has been uploaded.

  • Identity and prescribed Right to Work evidence
  • CoS and records of the sponsored role
  • Contract, relevant changes, salary and payment evidence
  • Current contact details and recorded changes
  • Attendance and absence records where applicable
  • Relevant Home Office reports and confirmation evidence
  • Outstanding actions with owner and target date

Test consistency across records

Compare the role, hours, work location and salary across the relevant records. A difference may have a legitimate explanation, but the pack should make that explanation and any action easy to find. Separate an administrative typo from a change that needs assessment under sponsor guidance.

Record the review date and the person who checked the pack. If a document is replaced, retain the appropriate history under your retention policy so the evidence trail still explains the earlier position. Avoid overwriting a historical file merely to make the folder look tidy.

Run a retrieval rehearsal

Ask an authorised colleague who did not prepare the pack to locate a sample of records. Can they find the latest check, identify its date and explain what remains unresolved? Record retrieval problems as process improvements. A rehearsal tests both the software and the way the team uses it.

Prepare the handover

Nominate a person to coordinate an inspection response, confirm who can access the evidence and explain how questions will be routed to the relevant manager. Keep the team’s factual answers consistent with the records. Refer case-specific legal questions to an appropriately qualified adviser.

Software can organise the material and highlight recorded gaps. The employer remains responsible for the duties and the Home Office makes its own assessment. The strongest practical benefit is a team that can find, explain and maintain its evidence without a last-minute search across inboxes.
